Who we are

Snoutwood Trotters Limited ("we") is responsible for the personal information described here. Company number 10083203. Registered office: Laburnum Farm, Laburnum Lane, Great Sankey, Warrington, WA5 3LE.

What we hold, and why

When you order

• Your name, email address and phone number, to take your order, send your confirmation and collection details, and contact you about your order.
• What you ordered, your collection preference and time, and your order number, to pick, pack and hand over your order.
• Payments and refunds: amounts, dates and method, to keep track of what you've paid and for our accounts.
• Notes our staff add to your order, such as a change you asked for.
• A record of the emails we've sent you about your order.
• Whether you've joined our mailing list, and when.

When you visit the site

• A standard server log of each visit: your IP address, the pages you look at, the website that sent you there, and your browser.
• Visit statistics: the pages you look at, the website or link that sent you, your browser, device type and country, and steps such as adding to your basket or placing an order. We count these with a tool we run on our own server. It doesn't use cookies and doesn't store your IP address.
• Recordings of some visits: where you click and scroll and what's on screen, with anything you type hidden. They include your order page, so a recording can show your name, order and collection details. We use them to find what's confusing and fix it.

We don't hold

• Your card details. Card payments are handled by Stripe on their own secure page. We only see that a payment was made, and how much.
• Your address. Nothing is delivered, so we don't ask for it.

Why we're allowed to

• Taking and fulfilling your order: it's needed for our contract with you.
• Payment and refund records: the law requires us to keep them.
• Recognising you when you order again with the same email: our legitimate interest in running your orders smoothly.
• Marketing emails: your consent.
• Server logs, visit statistics and recordings: our legitimate interest in keeping the site secure and understanding how it's used.

Marketing

When you order, you can tick a box to join our mailing list. It's unticked unless you tick it. If you do, we'll email you news and offers from Snoutwood Trotters. Every email has an unsubscribe link, or you can email us to be taken off. Emails about your order are sent whether or not you join.

Who we share it with

Only the services we need to take and fulfil your order:

• Stripe — card payments. Stripe is also responsible in its own right for the information it uses to prevent fraud: stripe.com/gb/privacy.
• Mailjet — sends our emails.
• Hetzner Online — hosts our website and order system, on servers in Germany.
• Motion8 Creative — built and maintains our ordering system, and may see order information when fixing a problem.

We never sell your information. Stripe may process data outside the UK, under the safeguards in its own privacy policy.

How long we keep it

• Order and payment records: six years after the end of the financial year they belong to, as the law requires.
• Your name, email and phone number: three years after your last order, then removed, except where they're part of the records above.
• Mailing list: until you unsubscribe, or three years after your last order, whichever comes first.
• An order started but not placed: expires after 30 days without use.
• Server logs: 14 days.
• Visit statistics: two years, so we can compare one Christmas with the next.
• Visit recordings: 30 days.

Cookies

We only use cookies the website needs to work, so we don't ask for consent:

• one remembers your order while you're putting it together. It lasts 30 days from the last time you changed your order.
• one lets the device you ordered on show your order confirmation after you place your order. It lasts 24 hours.
• one remembers which order you're adding to, while you add items to an order you've already placed. It lasts 24 hours from when you start adding.

We don't use analytics, advertising or tracking cookies. Stripe sets its own cookies on its payment page to process your payment and prevent fraud.

Your rights

You can ask us to:

• give you a copy of the information we hold about you
• correct anything that's wrong
• delete your information, where we don't have to keep it by law
• stop or limit how we use it

If you're unhappy with how we've handled your information, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. We'd appreciate the chance to put it right first.

Changes

We'll update this notice if what we hold, or who we share it with, changes.
